As of the 2H 2025 release, the Global Header People Search in SAP SuccessFactors has migrated to the Enhanced People Search framework, which is powered by an Elasticsearch (ES)-based API. This transition introduces specific behavioral changes regarding how inactive users are displayed and filtered within the system.
Managing Inactive User Visibility
A significant change in the Enhanced People Search framework is that it currently does not support the legacy configuration setting "Show inactive user in people search (requires Role-based Permissions)." This setting only applies to the legacy SOLR-based search and no longer affects the behavior of the Global Header Search. Consequently, inactive users may continue to appear in search results even if that legacy option is disabled (Source 3).
To exclude inactive users from search results under the current framework, practitioners should advise users to utilize the status filter directly in their search queries. For example, entering "active [employee name]" will filter the results to show only active records. SAP has planned a future enhancement for the 2H 2026 release (Preview: October 2026) to introduce a configurable switch in User Profile Settings, allowing individual users to define their preference for inactive user visibility (Source 3).
Configuring Searchable Fields and Directory Search
Enhanced People Search supports a specific set of default searchable fields, including First Name, Last Name, Username, Assignment ID, and User Status. Notably, Assignment IDs are only supported when Enhanced People Search is enabled (Source 3).
Administrators can further customize the search experience by enabling additional Directory Search fields that are not available by default. This is managed via Admin Center > Company System and Logo Settings > Enable Certain Search Fields for Directory Search. Available fields for enablement include:
- Department, Division, and Location
- Hire Date (From/To)
- Job Code and Job Role
- Person ID and National ID
- Customizable Fields (up to 15 can be added via the data model)
Practitioners must ensure that Role-Based Permissions (RBP) are correctly configured to allow users to search using these specific criteria and to control which employee details are visible in the results (Source 3).
Practitioner Implications and Validation
When troubleshooting search behavior, administrators should first verify if the "Enable Enhanced People Search" option is greyed out in Company System and Logo Settings. If it is, this typically indicates that prerequisites or required permissions have not been fully met. Furthermore, it is important to distinguish between the search framework and profile features; for instance, while search is being enhanced, the "Print PDF" function for the Latest People Profile is currently deprecated and is not planned for restoration until the 2H 2026 release (Source 1, Source 3).
For organizations managing rehires, practitioners should also note the distinction between the "Hire Date" and "Original Start Date" fields. The Original Start Date is automatically populated with the effective start date of the very first hire record and does not change during rehire actions, whereas the Hire Date reflects the latest rehire record's effective start date (Source 4).
